This page explains how to ask Kineticore Rehab Inc to delete your account for the KineticoreRehab app (Android phones, iPhone, and the watch app) and the personal data linked to it.
KineticoreRehab is an internal app for Kineticore Rehab Inc staff. Accounts are created and turned on only by Kineticore Rehab Inc for its employees and contractors; you cannot sign up for one yourself.
How to request deletion
You can start from the app: tap the ⓘ (About) button at the top of the home screen, then tap Delete my account. On the full website, open the account menu at the top right and choose Delete my account. Both open this page. Then:
- Email info@kineticorerehab.com with the subject “Account deletion request”, preferably from the work or personal email address we have on file for you.
- Include your full name and the work email or employee ID you sign in with. Do not include any patient information.
- We confirm the request came from you, using contact details we already have for you, and reply within 7 days. If you no longer have your Kineticore work email, write to us from your personal email.
- We complete the deletion within 30 days of confirming your request and email you when it is done.
If you still work with Kineticore, deleting your account means you can no longer use the app for your job, including the time clock, so talk to your supervisor first. Your supervisor or HR can help you send the request, but we will confirm it with you directly. When you leave Kineticore, your account is turned off, and you can still ask us to delete it.
What we delete
- Your sign-in: your password, and your ability to sign in to the app, whether with your work email or employee ID or with your Kineticore Microsoft work account. (Your Microsoft work account itself is managed by Kineticore IT and is closed through our normal offboarding when you leave.)
- Your profile photo and personal contact details: your profile photo, and the cell phone, home phone and personal email address on your account.
- Your voiceprint: the voice signature made from a short recording when you set up voice features, used to confirm it is really you for voice clock-in and voice messages. We don't keep recordings of your voice: voice clips are turned into text by speech-to-text services (see our Privacy Policy) and are not stored by us.
- Your location history: your location, with speed, direction and phone battery level, recorded while the app or website was open and you were on the clock, including meal and rest breaks. For some staff, the app clocks you in automatically the first time you use it each day. Recording stops when you clock out (within about five minutes if you clock out on another device, such as your watch).
- Your devices: the notification tokens for your phones and watch, and your watch pairings (the watch's name and when it last checked in). A watch's name stays on clock punches made with it, as part of your time records.
- Your messages: the messages and attachments you sent in staff conversations in the app. They are removed for everyone in those conversations, unless we must keep one for a legal matter (see below). Messages other people sent stay in their conversations.
- Your messaging and access settings: your saved message contacts, your group memberships, and your permissions and building access in the app.
- Your personal calendar entries: entries you added to your own calendar. Your work shifts are kept with your time and attendance records.
- Copies of your ID (for example a driver's license) scanned into your employee record, and the license details saved from them (number, issuing state and dates), unless we must keep a copy with your employment eligibility (Form I-9) records (see below).
What we keep, and for how long
Some records must be kept by law even after your account is deleted. We keep them only for the period shown, or longer if an open legal matter requires it. After that, we delete them under our written records-retention schedule.
- Patient care records you created or signed (for example visit notes, evaluations, patient visit schedules, and insurance cards or other documents you scanned). These are part of the patient's medical and billing record, not your personal account. We keep them for at least 7 years after the date of service, and longer when the law or a patient's insurance program requires. Your name stays on them as the author or signer.
- Your employment record and your time, attendance and payroll records (for example your name, employee ID, home address, date of birth, Social Security number, job title, hire and end dates, pay, professional licenses and certifications, time punches and timecards, and any identity-document copies we must keep with your Form I-9). We keep these for 5 years after the end of the calendar year in which you last worked with us, to meet federal and Florida employment and tax record rules, and then delete them.
- Your name and employee ID, only so the records above still show who wrote, signed or worked them. We remove the rest of your profile that we are not required to keep.
- Security and activity logs (records of changes made in the app and who made them) are kept for 6 years to meet our HIPAA security and compliance obligations. These logs can include earlier versions of your profile details. When we delete your account, we remove any copies of your password from these logs.
- Backups: deleted data can stay in our secure backups for up to 90 days, until those backups are replaced on their normal schedule. We do not use backups to bring your data back. If we ever have to restore a backup, we delete your data again.
- Legal holds: if a record is needed for a legal claim, investigation or audit that is open when you ask, we keep it until that matter is closed.
If we can't delete something you asked us to delete, we will tell you what we kept and why.
Deleting some data without deleting your account
- Notifications: turn them off in your phone's or watch's settings, or sign out of the app on that phone, which stops notifications to it. To unpair a watch, use the Watch page in the app. When you ask us to delete your devices or your account, we delete the stored notification tokens and watch pairings.
- Location: we record location only while you are on the clock and the app or website is open. You can turn off location access for the app in your phone's or browser's settings. You can still clock in and out; the app just can't suggest your nearest building.
- Voiceprint: on the full website you can remove it yourself under My Profile > Voice Training > Remove Profile, if your account shows that tab. Or email us.
- Messages: deleting a message in the app only hides it from you. To have messages you sent erased for everyone, email us.
- Anything else: to delete your location history, your voiceprint, your messages or other specific data while keeping your account, email info@kineticorerehab.com with the subject “Data deletion request” and tell us what you want deleted. We follow the same steps and timing as above.
